Review in Google Sheets

Your accountant only checks the few it isn't sure about.

Everything clear is filed on its own. The rest waits in Needs review, where one dropdown accepts or rejects it, right in the Sheet.

FAQ

Questions about Zebra Invoice

How do I automatically save invoices from Gmail to Google Drive?

Your Google Workspace admin connects Zebra Invoice once and chooses the mailboxes. From then on, each invoice or receipt that arrives in those mailboxes is saved as a PDF in your company's Shared Drive, usually within minutes, in a folder for the month and the person, and listed in a Google Sheet. Anything it isn't sure about waits on the Sheet's Needs review tab instead. Nobody has to forward anything.

Do employees need to install anything?

No. Your Google Workspace admin connects Zebra Invoice once, for the mailboxes you choose. Employees keep working as usual.

Does it work for the whole company or just one mailbox?

Either. You choose the mailboxes, from a single shared inbox such as info@ up to everyone in the organization, and the list can be changed later. Each mailbox must be a user account in your Google Workspace; Google Groups aren't supported.

Which Google accounts does Zebra Invoice work with?

Google Workspace accounts on a plan with Shared Drives (Business Starter and up). Personal Gmail accounts aren't supported.

Can Zebra Invoice read receipts sent as photos?

Yes, when the photo is attached to the email. Besides PDFs, it reads attached photos and scans in JPG, PNG or HEIC (the iPhone photo format) and files each receipt as a one-page PDF. A photo it can't read clearly goes to Needs review instead.

What about invoices sent as links?

When an email is about an invoice or receipt and links to it instead of attaching it, Zebra Invoice follows the link and files the PDF it leads to. It can't sign in to supplier portals, so an invoice behind a login isn't downloaded.

Does it handle other languages and currencies?

Yes. It reads invoices in many languages, Hebrew included, and keeps each total in its own currency.

What if it reads an invoice wrong?

Before filing, it checks the amounts, date and currency it read. Anything that fails a check, or that it isn't sure about, goes to the Needs review tab in your Sheet, where your accountant accepts or rejects it with a dropdown and can correct the details.

Will an invoice sent to several people be filed more than once?

No. One email that reaches several of your mailboxes, or the same file sent again, is filed once. A copy from the same sender's domain with the same vendor, invoice number and total but a different file waits in Needs review as a possible duplicate.

Where are my invoices stored?

In your company's own Google Drive: a Shared Drive with a folder for each month and a subfolder for each person, plus a Google Sheet that lists every invoice. We don't keep a copy of any file or email. Our database keeps what the app needs to run, including your settings and the mailboxes in scope, each invoice's details (such as vendor, date, amounts, the sender's domain, a link to the file and, for an invoice downloaded from a link, that link), processing records and an audit log.

Does Zebra Invoice read all our company's email?

Only the mailboxes your company puts in scope. Google's permission covers the whole domain, but Zebra Invoice is limited to those mailboxes in code, and every change to the list is audited. In those mailboxes it only reads: it never sends, deletes or labels anything.

Is my data used to train AI?

Invoices are read by Google's Gemini models on Google Cloud's Vertex AI, with Google's Document AI reading the text of scanned documents, and Google doesn't use them to train its models.

Does it work with QuickBooks or Xero?

Not directly. Zebra Invoice keeps your invoices in Google Drive and Google Sheets, and on the 1st of each month it saves a CSV of the previous month's filed invoices in Drive, ready to hand to your accountant.

Can we stop at any time?

Yes. Your admin removes the access in the Google Admin console and processing stops. Everything already filed stays in your Drive.

When can we start?

We're onboarding early-access companies now, and it's free during early access. The public listing on the Google Workspace Marketplace follows Google's review.
